For importers, manufacturers and blenders

Trade program

Everything Vinaherb supplies is sold business to business. A trade account is what turns the open catalog into working prices, representative samples and the documents your quality function needs. It is free to open and commits you to nothing.

Who the program is for

Trade accounts are opened for registered businesses buying botanical material as an input, whether that input is resold as it arrives or disappears into a formulation.

  • Aerial view of rows of shipping containers at a port terminal

    Importers & distributors

Buying at origin for resale into a domestic market, in container or part-container volumes, against the documentation their own customers will ask for.

  • Milled spice powder in warm gold and amber on a dark surface

    Food & beverage manufacturers

Spice blenders, seasoning houses, sauce and instant-noodle plants, tea packers and beverage formulators buying to a fixed specification, lot after lot.

  • Dried medicinal roots and bark in bowls and jars on a dark table

    Supplement & nutraceutical brands

Buying milled botanicals by mesh and standardized extracts by marker compound, where a consistent active load is the point of the purchase.

  • Glass vials of botanical extract with flowers and fruit suspended in them

    Cosmetic & personal care formulators

Buying botanical extracts and aromatic material for formulation, with the identity and residue testing that a finished cosmetic file has to carry.

We do not sell retail quantities to consumers. Every SKU in the catalog carries a minimum order quantity for commercial supply, and accounts are verified against a trading business before pricing is released.

What the account opens

The catalog stays open to browse without signing in, so species, form and specification can be checked before you speak to anyone. Everything below sits behind verification.

Browse the catalog
Wholesale pricing
The catalog carries no prices until an approved account signs in, and then shows the price set against your company on every SKU we can supply you.
Representative samples
Request material to test against your own specification before committing to a lot.
Quality documents
Representative COA and CERT for download. A COA for the specific lot ships with the goods.

Buying a full container? Write to contact@vinaherb.com. Those go through the desk directly rather than through the site.

Commercial terms

Minimums are set per SKU and listed against each variant, and lead time follows availability. Material is packed 1, 5 and 25 kg for trial work and in sacks or lined cartons at production volume, sold ex works from our warehouse, by air, or FOB Hai Phong. Payment is by telegraphic transfer or letter of credit, with small orders settled online, quoted in USD, EUR or GBP. Samples are often free of charge and freight is the buyer’s. Every offer carries a specification sheet, a representative certificate of analysis and a validity date, and anything specific to your volume or destination is confirmed there rather than assumed from this page.

Opening an account

Four steps, of which only the first needs anything from you.

  1. 01

    Register the business

Company name, registration or VAT number, trading address, and the products you are looking at. It takes a few minutes and costs nothing.

  2. 02

    We verify the account

We confirm that the business trades in the sector it states, and come back to you directly if anything is missing rather than leaving the application open.

  3. 03

    Prices appear

Sign in and the prices show on the catalog you have already been browsing. Nothing else about it changes.

  4. 04

    Sample, trial, then production

Evaluate a sample against your specification, run a small commercial quantity through your actual process, and scale to container volumes once it holds.

How buying through the program works

Pricing behind a verified account is standard practice in ingredient supply rather than a barrier put up for its own sake. A botanical price is a function of the harvest it comes from, the form it is sold in, the grade specified, the volume moved and the incoterm it is quoted against. Publishing one number for all of that would mean publishing a number padded enough to survive the worst combination, which helps no buyer. Verification also tells us who we are talking to, which is what allows a quotation to arrive with the right packaging, the right port and the right documents attached rather than a generic offer that has to be corrected twice.

Samples and evaluation

A sample is only useful if it represents what a container would hold, so samples are drawn from current stock rather than prepared specially. Send us the specification you actually test against, including the moisture ceiling, mesh where it applies and any microbiological limits, and the sample is checked against those figures before it leaves. Where a buyer has a house method that differs from ours, it is worth saying so early: most disagreements about a lot turn out to be disagreements about how it was measured.

From quotation to first shipment

A quotation states the SKU, the volume, the packaging, the incoterm, the lead time and a validity date. Once it is accepted, material is allocated or scheduled for milling and the documentation is prepared against the shipment rather than retrofitted to it. A first order is as much a test of the supplier as of the material, and we would rather it be a small commercial quantity that goes through your real process than a container placed on the strength of a laboratory bench.

Repeat supply and planning

Botanicals are agricultural products, and the calendar governs what is genuinely available rather than what can be promised. Buyers running a fixed recipe are better served booking against a coming harvest than assuming continuous availability, particularly for flowers and for anything bought on aroma. Where a specification is tight, we would rather agree it once, in writing, and hold every subsequent lot to it than renegotiate quietly each season.

When something goes wrong

What happens to a failing lot says more about a supplier than any certificate. Raise it with the lot code and the results you measured, and the same material can be traced back through packing, processing and the sourcing region it came from. Regulatory acceptance differs by destination market, so buyers remain responsible for confirming that a given product and its labelling meet the requirements where it will be sold. Where the material itself is out of specification, that is ours to resolve.

Common questions

The ones that come up before a first order, answered here rather than held back for a call.

Does a trade account cost anything?

No. Registering is free and carries no minimum spend, no annual commitment and no obligation to order. It exists so that we know who we are quoting.

How long does verification take?

We aim to review new accounts within a couple of working days, and we will say so if a decision is going to take longer.

Can I buy a small quantity to test?

Yes. Sample and trial quantities are exactly what the 1 and 5 kg packs are for, and we would rather a buyer tested properly than committed early.

Do I have to pay for samples?

Often not. Sample material is frequently supplied free of charge, decided case by case against the species, the form and the quantity you need for a proper evaluation. Freight is paid by the buyer, either on your own courier account or against a proforma invoice.

Do you supply private label or contract manufacturing?

We supply the botanical raw material, in whole, milled or extracted form, to the specification your process runs on. Finished-goods packing is handled case by case rather than offered as a standing service.
